What personal information we collect

We collect only the information needed to provide our services, communicate with you, and ensure participant safety.

A) On our website (Wix)

Depending on the form and your choices, we may collect:

  • Name

  • Email address

  • Phone number (if provided)

  • Organization/school information (if applicable)

  • Message content and any details you choose to include

We may also collect basic technical information needed for site operation and security (e.g., device/browser type, logs).

B) Registrations, participant data, and payments (Amilia)

Registrations are handled through Amilia. Personal information about children is entered by a parent/guardian directly in Amilia (not manually entered by Programmes Coyote on the website).

 

Depending on the program, Amilia registration forms may collect:

  • Child’s name, age, date of birth, and address

  • Emergency contact information

  • Relevant health and safety information (e.g., allergies, medical details needed for safe participation)
     

Optional SIN (Social Insurance Number):

The SIN is fully optional and is used only for families who want to receive the documentation required for RL-24 purposes. If provided, the SIN remains in Amilia. We do not copy it to Google Drive or internal lists.

Payments:

Payments are processed through Amilia, and Amilia stores payment information. We do not store full payment card details.

Photos and videos

During certain activities, we may capture photos/videos. We request consent and respect your choice for use on:

  • Our website

  • Social media

  • Communications (e.g., newsletters)

How we collect information

  • When you submit a form on our Wix website

  • When you register through Amilia

  • When you contact us by email/phone

  • Through essential cookies required for site functionality (see section 9)

Why we use personal information

We use personal information to:

  • Respond to inquiries and communicate with you

  • Manage registrations, attendance, and program operations

  • Ensure participant safety (allergies, emergency contact, relevant medical notes)

  • Produce invoices/contracts for organizations (as applicable)

  • Improve our website and communications (analytics may be used as described below)

Minors and parental consent

Our services often involve minors. Registration information for children is provided by a parent/guardian through Amilia. Where required, we rely on parental authority/guardian consent for the collection and use of a child’s personal information.

Service providers we use (sharing)

We do not sell personal information.

We may share personal information with trusted service providers only as necessary to operate our services:

  • Wix (website hosting, forms, CRM)

  • Amilia (registrations, CRM, payments)

  • Mailchimp (newsletter/email marketing)

  • Google (Google Drive enterprise for operational documents; and potentially Google Analytics / Google Ads)

  • QuickBooks (invoicing/accounting)

Cookies, analytics, and advertising

Our website uses essential cookies required for site operation and security.

At this time:

  • No tracking pixels

  • No event tracking

Future tools: We may enable tools like Google Analytics and/or Google Ads. If we do, we will update this policy and implement appropriate consent options where required.

Processing outside Québec

Some providers may process or host information outside Québec. When this occurs, we take reasonable steps to ensure appropriate safeguards are in place.

Retention (how long we keep information)

We keep personal information only as long as necessary for the purposes described above and to meet legal/administrative obligations. When no longer needed, we securely delete, anonymize, or archive it.

Security measures

We use reasonable safeguards, including:

  • Limited access (Director + coordination team only)

  • Two-factor authentication (2FA)

  • Professional tools and controlled access (including Google Drive enterprise)

You may request access to your personal information or request corrections if it is inaccurate. You may also withdraw consent when applicable, subject to legal/contractual requirements.
